Reconciling your Hailo Credit Card Charges

How to interpret and trace the charges on your Credit Card Statement to your Hailo food/supplies orders

To make things easier for our users, Hailo allows you to pay for your Food and Supplies orders with your credit card.

At the time of your order, an estimated order total is calculated. If you're paying with credit card, your card will be pre-authorized for this estimated total when your order is submitted. The pre-authorization ensures that there is enough room on your credit card for the order. It will show up as a "Pending" charge with your bank. The final charge will be made once the order arrives, and the invoice is issued from the supplier.

The final invoiced amount (issued by the supplier once the order is delivered) may be higher or lower than the estimated amount at the time of submission. This is due to shortshipments, substitutions, add-ons, or items shipped by weight.

Reading your Credit Card Statement

Your credit card statement should look something like this:

On your credit card statement, you'll notice a few things:

  • Each charge from Hailo has an associated 6 digit (alpha-numeric) code. This is the ID of the Hailo order that the charge relates to.

  • The majority of orders will 2 (or possibly more) charges. This is due to the difference between the estimated order total at the time the order was placed, and the final amount of the order at the time of invoicing. Differences may arise from substitutions, add-ons, Sysco price changes, or shortshipments. Final price adjustments will also commonly need to be made in the case of an order containing items ordered by weight (for example, certain cuts of beef), as the actual weight of the item shipped is not known at the time of order.

  • The first charge for each order will also have an associated Sysco invoice number. This is the 7 digit number after the "/"

Interpreting the Credit Card Charges

The first charge you see on your statement for a given order is the amount that was pre-authorized to your credit card at the time the order was submitted. This is the estimated order total amount. The final invoiced amount (issued by the supplier once the order is delivered) may be higher or lower, due to shortshipments, substitutions, add-ons, or items shipped by weight.

If the final charge is lower than the estimated pre-authorized amount, then the final invoiced amount will be charged.

You can see each of these charges in your Order History in the mobile app, on the summary for the associated Order ID.
